Operations Manager Job Opening at Charlottesville Opera - Immediate Opening
Charlottesville Opera, a professional opera company in Charlottesville, Virginia, seeks an Operations Manager.
The work of the Operations Manager is essential to the success of Charlottesville Opera and requires someone with excellent written and oral communication, time management skills, attention to detail, and the ability to handle multiple tasks at once. This person must be comfortable primarily working alone and is responsible for the daily administrative operations of the company. The position reports directly to the General Director. Work will be centered at the Opera office, located in downtown Charlottesville off of High Street. Remote work is a possibility under certain circumstances, but will be at the discretion of the General Director.
Our goal is to find someone who can play a critical role running the administrative functions of Charlottesville Opera as listed below and therefore it is not expected that this person have familiarity with opera or the music industry.
The Operations Manager is responsible for receipts and handling of invoices, coordinating with an external bookkeeper for payment and documentation, and assisting in appropriate entries in the company’s ledgers with the support of the bookkeeper. In addition, the Operations Manager coordinates with the Treasurer and bookkeeper to prepare financial reports. In preparation for productions, the Operations Manager executes contracts for all participating artists, performers, and other contract workers and coordinates with production staff to arrange and confirm artist travel and housing. For all ticketed events, the Operations Manager either coordinates with the venue, primarily the Paramount Theatre, or manages the tickets through the office in the case of patron or donor events. Throughout the year, the Operations Manager assists with donor relations by maintaining the donor database through Donor Perfect, communicating with donors and the Board regarding membership reminders, sending thank you letters, preparation and mailing of annual appeals, and tax receipts. Additional duties include online research for grant opportunities, scheduling and meeting reminders for the Board, creation of board meeting packets, regular errands to check mail, have checks signed, and pick up office supplies. The Operations Manager will additionally assist with scheduling and communications for the company’s education program and support the General Director in grant management. This job may include some non-regular hours to assist with performances and events.
4 years relevant experience required. Bookkeeping experience and proficiency in Quickbooks Online is highly preferred. Proficiency in Excel and Word required. Excellent problem solving skills, and communication skills, both verbal and written, required. Experience in database management (Donor Perfect), graphic design through Canva or other graphic design programs a plus.
Pay range is $45,000 - $48,000, dependent upon experience. Benefits include two weeks paid vacation earned over time worked, and paid holidays.
For 44 years, Charlottesville Opera has produced opera, musical theatre, and other musical performances. Originally at Ash Lawn-Highland (the home of President James Monroe), in 2009 the season was moved to the award-winning historic Paramount Theatre on Charlottesville’s Downtown Mall. In 2017, the company changed its name from Ash Lawn Opera to Charlottesville Opera.
Charlottesville Opera produces an annual summer season of two productions (one opera, one musical) as well as occasional winter and spring performances, bringing in more than 100 singers, orchestral musicians, directors, designers, and technical staff. Important educational initiatives are a summer Emerging Artists Program and year-round programs for school-age children. The annual budget is approximately $750,000.
